How One of America’s Largest Food Producers Implements Synchronized Collaboration

Cloud Enterprise Content Management & Synchronization

For most organizations, migrating to a single platform for cloud enterprise content management and collaboration isn’t realistic. Many have brought in newer, cloud-based technologies but remain reliant on their on-premises systems for a variety of reasons. Consequently, these content silos create information chaos for many IT departments.

Wouldn’t it be convenient if you could maintain these files to be accessible by any user, anywhere, regardless of where the said file is stored?

Well, what if we told you, you can.
And organizations are doing it right now.

Synchronized Collaboration Between ECM Platforms & Cloud Sharing Services

Business Case Summary

One of America’s largest food producers has been using their legacy ECM platform, Documentum, for its Enterprise Content Management for over 15 years. However, as technology has advanced and its workforce required better access to content on-the-go, the organization needed a way to enable that access without discontinuing its use of Documentum.

Unfortunately though, Documentum did not offer a good mobile situation. As a result, they sought to implement cloud sharing services into their environment. The organization’s Director of Development & Analysis also explained, “We had no reason to cut people off from Documentum; they were already familiar with it and knew how to use it. We wanted to say, ‘If you’re in the office, you can keep using Documentum. And we’ll take care of syncing that content to Box so everyone can gain access to that, no matter where they are.'”

We want to make great food, we don’t want to be server people.”

Future-State of the Content Management

About a year ago, the organization began searching for viable replacements for its ECM system, Documentum. “It’s legacy, it’s heavy, it has to be hosted on multiple servers. Even more, it requires a lot of overhead for us to continue to maintain this system. We wanted to find something more cloud-based and hands-off, ” explained the Director of Development & Analysis. But due to the heavy integration with back-end systems as well as the existing workflows, it was nearly impossible to rip and replace the Documentum system. However, this organization soon learned they could have the best of both worlds.

The Solution

By synchronizing its legacy system with a new, cloud-based storage platform, the organization was ultimately able to give its workforce mobile and remote access to content without requiring a VPN connection to get into Documentum. Those workers who did not need that mobile enablement were able to continue using Documentum seamlessly, from inside the office. This hybrid solution provided by SkySync enabled them to modernize their storage environment without any disruption to business operations or users. Additionally, the Director of Development & Analysis said, “We always thought that SkySync’s swiss-army knife comparison was appropriate because that’s really what it really is for us.”
